Explanation:
Procurement Services requires an agreement with a qualified vendor to supply and deliver electrical products and supplies to maintain and repair existing equipment throughout the City to all Departments, Divisions and Offices.
On December 20, 2017 Graybar Electric Company was awarded U.S. Communities, City of Kansas City, Missouri, contract number EV-2370 based on Request for Proposal (RFP) number EV2370 for electrical products and related services and solutions for an initial five year term of February 1, 2018 through January 31, 2023, with options to renew for three additional two year terms.
Section 38.40 (C)(5) of the Purchasing Ordinance allows the Director to procure, without following formal procedures, all goods and services which are subject of contracts with the state, its political subdivisions, the United States government, other governmental entities, or a corporation not for profit whose members are governmental entities, public officers, or any combination thereof, provided however, the goods and services are: (i) the subject of a price schedule negotiated by the state or the United States government, or (ii) the subject of a contract with another governmental entity or a corporation not for profit whose members are governmental entities, public officers, or any combination thereof, which contract is based strictly on competitive bids or competitive proposals and not on any preference.
The Director of Procurement Services has recommended that the City Commission approve the issuance of the attached blanket purchase order (B003113) to Graybar Electric Company for the purchase of Electrical Products and Supplies Citywide for an estimated annual expenditure of $296,818.00 for the first year.
Subsequent annual expenditures for the remaining contract terms shall be based on operational needs and departmental requirements and have historically been below $100,000.00.
Award is subject to the City’s receipt and approval of all insurance certificates required by the City’s Risk Manager.
Funding for the attached agreement has been appropriated and exists in individual The Department of Public Works Account Numbers 01.5174.00000.519.004635 ($260,000.00), the Department of Public Utilities Account Numbers 42.4041.00785.536.004633 and 42.4011.00765.536.004633 ($35,000.00) and the Fire Rescue and Beach Safety Department Account Number 01.2151.00000.522.004635 ($1818.00) and will be budgeted in subsequent fiscal years.
