Staff Recommends: The Approval of the Attached Resolution

 

 

Explanation:

The Department of Information Technology desires a qualified firm to upgrade the existing Cisco Unified Communications (UC) platform.

 

On July 8, 2015, the City Commission passed and adopted Resolution Number R-2015-223 for the lease/purchase and maintenance of a Unified Communications (Telephone) Systems in the estimated amount of $1,155,554.00.

 

The Department of Information Technology is requesting a Cisco gold partner to evaluate and utilize their considerable expertise in assessing and upgrading the UC platform with all its associated components to the most current stable version, which is supported by Cisco.

 

On May 24, 2017, Notices of the Availability of RFP-4556-17-JE were posted on the City’s website, advertised and sent to 8044 firms and viewed by 69 vendors on Bidsync.com in accordance with  Section 38.42(A)(1) of the City’s Purchasing Ordinance.

 

RFP-4556-17-JE was opened at 3:00 p.m., Thursday, June 22, 2017, and resulted in responses from two (2) firms:

 

                     United Data Technologies

 Doral, Florida

 

                     Shoregroup Solutions, LLC

     New York, New York

                                                                                                                                                   

 

Evaluations of the Proposals were based upon the following criteria as established in the RFP: 1) Overall Proposal Suitability 2) Experience & Expertise 3) Project Understanding, Proposed Approach and Methodology

4) References 5) Cost of Services.

 

The firms’ proposals were evaluated by an Evaluation Committee comprised of the Assistant Director of Information Technology, Network Engineer and the Communications and Support Services Manager.

 

After the proposals were evaluated, the resultant scores were compiled to arrive at the ranking, first choice to second:

 

                     United Data Technologies (UDT)

                     Shoregroup Solutions, LLC

 

The Director of Information Technology and the Director of Procurement and Contract Compliance recommend that the City Commission authorize the negotiation and execution of an agreement with the highest ranked firm, UDT, to provide an upgrade to the existing Cisco Unified Communications (UC) platform in an estimated amount of $65,967.30.

 

Funding for this service is available in the Computer Hardware Account Number 57.1345.00000.590.006441 and in the Maintenance Machinery Account Number 57.1348.00000.590.004633.

 

The City of Hollywood reserves the right to terminate the agreement with or without cause effective thirty (30) days from date of written notice.

 

Award is subject to the City’s receipt and approval of all insurance certificates required by the City’s Risk Manager, along with signed Statement of Hold Harmless and Indemnity in favor of the City.
