Explanation:
The Fleet Management Division of the Public Works Department requires the services of qualified outside vendors to provide Automobile, Truck and Equipment Body Work, Collision Damage Repair and Painting for police vehicles, general fleet vehicles, large heavy duty trucks and specialty equipment.
The Fleet Management Division of the Public Works Department prepared specifications and qualifications for a Request for Qualifications (RFQ) to pre-qualify vendors through the submission of documents which verify that the bidder meets or exceeds the minimum requirements established in this RFQ and shall be placed on a Pre-Qualification List.
The awarded pre-qualified firms would then be eligible to provide spot market quotations on an as needed basis for body work, collision damage repair, and painting services.
On February 12, 2016, Request for Qualifications (RFQ) Number 4496-16-RD was electronically advertised via BidSync in accordance with the City’s Purchasing Ordinance, Section 38.42(A).
RFQ-4496-16-RD was opened at 3:00 p.m. on March 10, 2016, and resulted in the following four (4) responses:

The term of this agreement is for an initial two (2) year period with the right to renew for two (2) additional two (2) year periods subject to vendor acceptance, satisfactory performance and determination that renewal will be in the best interest of the City.
The Public Works Department evaluated the four (4) submittals received to ensure they meet or exceed the minimum requirements established in the RFQ document.
The Director of Public Works and the Contract Compliance Officer have recommended that the City Commission approve the four (4) bidders listed below to be included on the Pre-Qualified List to provide spot market quotations on an as needed basis for Body Work, Collision Damage Repair and Painting Services in an estimated annual amount of $130,000.00:

2. Santa Rosa Body Shop d/b/a Caffi Brothers Body Shop
3. Economy Auto Painting & Bodywork, Inc.
4. National Collision & Truck Center Inc.
Award is subject to the City receiving all insurance required and approved by the City’s Risk Manager, along with signed statements of Hold Harmless and Indemnity to the City.
Funding in the amount of $130,000.00 will be provided in the fiscal year 2016 General Fleet Maintenance - Vehicles Budget Account Number 57.5101.00102.590.004632 and the Police Fleet Maintenance - Vehicles Account Number 57.5101.00109.590.004632, and will be budgeted in subsequent fiscal years.
