Explanation:

The Department of Public Works desires to purchase HVAC Maintenance, Repair, and Emergency Services for HVAC systems to maintain air quality, perform repairs that can help prevent costly damages, and prompt emergency repairs that can help maintain a comfortable working environment for employees and customers.

The City is utilizing Thermo Air, Inc. (“Thermo”) for other HVAC services, and the amount being paid to Thermo has exceeded $100,000.00 for Fiscal Year 2025, and therefore, City Commission approval is required for the payment of fees for these services pursuant to Section 38.38 of the Procurement Code.

For the upcoming Fiscal Year 2026, Public Works plans to bid out and award HVAC maintenance and repair services.

The Department has determined that it is in the best interest of the City to purchase HVAC Maintenance, Repair, and Emergency Services from Thermo as they are a local vendor, responsive, employ qualified experts, and have provided HVAC Maintenance, Repair, and Emergency Services to the City for over 20 years.

Fiscal Impact:

Funding for this purchase order is available in the FY 2025 Operating Budget in account 001.500301.51900.531170.000000.000.000.
