Explanation:

The Department of Public Utilities (DPU) needs HVAC Preventive Maintenance and Repair Services to meet ongoing operational needs.  DPU facilities include numerous pieces of temperature-sensitive equipment which make HVAC equipment maintenance and repair services essential.

 

On March 1, 2023, Bid Number IFB-066-23-JJ was electronically advertised on OpenGov.com to solicit the desired HVAC Equipment Preventative Maintenance and Repair Services in accordance with Section 38.43(A) of the Procurement Code.

 

On March 1, 2023, Bid Number IFB-066-23-JJ was opened and resulted in the following responses:

The bid from Rudge Wood Flooring was the lowest, however, their submission did not meet the minimum bid requirements and was therefore deemed to be a non-responsive bidder.

 

Cedenos Comfort Cooling LLC (Cedenos) has been determined to be the lowest responsive bidder.  Cedenos is currently providing these services to the City responsively with satisfaction.

 

The term of this Blanket Purchase Agreement (BPA) shall be for an initial three-year period from October 1, 2024, - September 30, 2027, and may be renewed for two additional one-year renewal periods.

 

The DPU Director and the Interim Director of Procurement and Contract Compliance recommend the City Commission execute the attached BPA for HVAC Equipment Preventative Maintenance and Repair Services with Cedenos in an estimated annual amount of $115,000.00.

 

 

Fiscal Impact:

A portion of the funding for this BPA is available in the FY 2024 Operating Budget in account numbers 442.400502.53600.552240.000000.000.000, 442.400201.53600.546310.000000.000.000, 443.410101.53800.546310.000000.000.000, 442.400602.53600.552240.000000.000.000, and will be budgeted in subsequent fiscal years' operating budgets subject to approval and adoption by the City Commission.
