Explanation:
The Department of Public Utilities (“Department”) needed to establish rental services contracts for low, regular, and heavy equipment to be prepared for potential storm events during this 2023 hurricane season. This equipment is needed to ensure the continuous operation and maintenance of critical infrastructure within the City, including the drinking water supply and distribution system, sewage treatment facility, and stormwater management system. Should a storm occur without the Department having this equipment available, the situation would pose a threat to the health and safety of the public.
The Department has determined that it is in the best interest of the City to establish rental services contracts with United Rentals, Sunbelt Rentals, and Herc Rentals because they are currently registered vendors approved to provide the desired equipment.
The period of performance during which the desired rental services/equipment will be acquired is less than a one-year period or from June 1, 2023, through November 30, 2023 for an annual amount of up to $300,000.00 ($100,000.00 each vendor).
The Director of the Department and the Chief Procurement Officer recommend that the City Commission approve and authorize the execution of the issuance of the Purchase Orders to United Rentals, Sunbelt Rentals, And Herc Rentals for the rental of low, regular, and heavy equipment in an annual amount up to $300,000.00 ($100,000.00 each vendor).
Fiscal Impact:
A portion of the funding for the Purchase Order was paid in FY 2023 from account number 442.409903.53600.552240.000701.000.000, and the remainder of the funding is available in the amended FY 2024 Capital Improvement Plan in the same account.
