Explanation:

The City uses the Cityworks software platform to manage and track infrastructure assets, work orders, and maintenance activities across multiple departments. Cityworks has been in place since 2018, when the City first implemented the system under Commission-approved agreements. Since then, departments including Public Utilities, Public Works, and Parks & Recreation have incorporated Cityworks into their daily operations. The system now serves as the central system of record for asset history and maintenance activities citywide.

Cityworks is proprietary software developed and supported by Trimble, Inc. Because the City’s data, workflows, and configurations are deeply embedded within the software, the continued use of Cityworks is essential to prevent operational disruptions. Transitioning to an alternative system would require costly reimplementation, complex data migration, extensive staff retraining, and system reconfiguration, which would negatively impact City operations.

Trimble has provided the City with a renewal proposal for the next three-year term, beginning on November 1, 2026, and ending on October 31, 2029. The proposal includes unlimited user logins under the Cityworks Premium Elite license and migration to Trimble’s updated Unity Maintain platform. The agreement also covers system maintenance, upgrades, security updates, and technical support.

Maintaining Cityworks ensures continuity for departments that rely on the system daily and supports long-term asset management goals, operational efficiency, and the platform’s future. Staff have reviewed the pricing and determined it to be fair and reasonable when compared with previous agreements and similar municipal software services.

Fiscal Impact:

A portion of the funding for this agreement is available the FY 2027 Operating Budget in account numbers 442.400101.53600.531170.000000.000.000 and 001.500101.51900.564420.000000.000.000, and will be budgeted in subsequent fiscal years’ operating budgets subject to approval and adoption by the City Commission.
